Mail Pilot is a local, native email client. It never stores or transmits your emails or account credentials to or on a third-party server.

It’s that simple — pure, real IMAP. Between your device and your email server. That’s it.

Privacy Policy

We at Mindsense, makers of Mail Pilot, strongly support your privacy when you use our apps. In short: your data is yours.

We build our apps and our business to specifically support your right to privacy with your data. Our business is funded by selling software to you. We do not mine your data to profit off of it. We prefer to avoid collecting your data when possible. When we do collect data, we prefer to make the data anonymous when possible. For example, all crash reports you send to us through the Mail Pilot apps are sent anonymously by default.

Mail Pilot is a local, native email client. We never collect your email account credentials or any of the contents of your emails, email accounts, or email servers ("Email Data") onto servers of our own. Your email account credentials and Email Data never leave your device and email server as a result of you using a Mail Pilot app. Mail Pilot uses the internationally standardized protocols IMAP and SMTP to transmit your emails directly to and from your email server.

We have created this Privacy Policy to share with you what happens with your data when you visit our Website at https://mailpilothq.com/ and https://www.mailpilot.app/ and when you use the Mail Pilot apps.

Website Purchases

All purchases of Mail Pilot initiated from our Website go through one of our two payment processors, Stripe or Paddle. The only information we keep on our servers from a purchase are your email address and metadata that allows us to find your transaction with our payment processors. Your payment information (credit card number, expiration date, CVV code) is transmitted directly from your browser to our trusted payment processors. This payment information stays on our payment processor's servers, and never goes through our servers, not even temporarily.

The purpose for keeping record of your email address and purchase is to identify you as a Mail Pilot customer when you contact us for support, request a receipt or invoice, request your serial number, request a refund, or purchase a discounted upgrade on an app you have previously purchased. We keep this information indefinitely to facilitate support interactions, unless you ask us to remove it. If you would like your payment information removed, contact us at founders@mindsense.co.

In-app Data

It was written in the overview above, but we'll share it here again: Mail Pilot is a local, native email client. We never collect your email account credentials or any of the contents of your emails, email accounts, or email servers ("Email Data") onto servers of our own. Your email account credentials and Email Data never leave your device and email server as a result of you using a Mail Pilot app. Mail Pilot uses the internationally standardized protocols IMAP and SMTP to transmit your emails directly to and from your email server.

There is no personal data which we collect within the Mail Pilot app to transmit or store with our servers.

Anonymous data may be transmitted from Mail Pilot to our crash log and software update vendors' servers if those features are used. These vendors are Sentry for crash logs and error reporting, and App Center for software updates.

By default, anonymized data from crashes and fatal errors is collected. These logs contain information about when the crash or error occurred, including the state of the app, the operating system, and the device. We may keep these anonymous logs until we are able to fix the issue, or for up to a year. No private data is sent. These anonymous logs help us to fix and prevent similar issues in the future.

By default, versions of Mail Pilot obtained directly from our website check for updates to the app at launch. These checks involve transmitting anonymous information about the running version of Mail Pilot in order to see if there is a newer version available for download. This anonymous version information is not saved. No personal data is sent.

Besides error and crash logs, we do not track any in-app usage or collect any in-app analytics.

When you activate a Mail Pilot app with a license key, your license key is sent to our trusted licensing vendor, Paddle. We do not collect information as a result of this interaction other than to keep a count of the number of activations you have performed. The purpose of storing this number is to ensure the license key is only used on the number of devices for which it was purchased. If you would like us to remove this data, contact us at founders@mindsense.co, but be aware that you may not be able to use the license key on any additional computers in the future.

Using OAuth with a Google account

When you add a Google email account to Mail Pilot using OAuth, Mail Pilot gets your email address, full name (which is used to set your default "from" name when composing a message), and access to your email account. This data and access is used strictly to allow you to operate the local Mail Pilot email client, and for no other purpose. This data and access is used strictly from your device, and it is never transmitted anywhere else. None of the data which Mail Pilot is given access to by using OAuth authentication is ever collected or ever leaves your device. The only place where OAuth authentication can occur for Mail Pilot is directly in the local Mail Pilot email client.

App's use of information received, and App's transfer of information to any other app, from Google APIs will adhere to Google's Limited Use Requirements.

Email support

When you request support from us via email, we collect your email address, and any information you send to us, such as crash logs, sample .eml files, app logs, or diagnostic information.

We collect this information to allow us to facilitate the support interaction with you. This information is kept indefinitely so that we may continue to support you more readily in the future, and to help us identify issues that need to be resolved. To request the removal of this information, contact us at founders@mindsense.co.

Email Newsletter

If you subscribe to our email update newsletter, for the purpose of sending you our email updates, your email address will be stored solely on the server of our mailing list vendor, MailChimp. To be removed from our mailing list, use our unsubscribe page.

We send very few messages to our email list every year — usually fewer than 1 message each month, on average.

We never share or sell your email address with any other party (other than our mailing list vendor for the purpose of sending out the email update newsletters).

After you subscribe to our newsletter, we keep your email address on the email list indefinitely, until you unsubscribe, which you can do at the above link.

Website Logging

Whenever you interact with our Website server, some metadata about the request and the server's response is logged. This metadata may include your IP address, the resource path requested, the name and version of the software (such as your browser) making the request, what our server's response to the request was, and the date and time the request was logged.

We usually only look at these logs when there is a problem with our website server.

Logs are kept for one (1) week at maximum.

Web analytics services are provided by Google Analytics.

Embedded Videos

Pages on our website may contain embedded video(s) of ours, hosted by Vimeo. These videos are embedded on our website to help us show you what Mail Pilot is and how to use it.

When you visit a page which loads a video hosted on Vimeo, your browser connects directly to Vimeo's servers. Their server is informed about which page on our website you visited. If you are logged into your Vimeo account, they may associate this data with your account. Logging out of your Vimeo account should prevent this behavior.

GDPR Requests

EU citizens wishing to exercise their rights under the General Data Protection Regulation, including access or erasure, may contact us with their request. Requests are recommended to be sent to founders@mindsense.co.

Whenever possible, we prefer to honor these requests for everyone, not just for EU citizens. Simply send your request to the above email address.

Children's Privacy

Mail Pilot does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to take the necessary actions.
